The Hidden CFO of Your Practice

The Strategic Role of Office Managers in Practice Success

by Penny Reed

Dental PrACTICE Managers - the true revenue strategists

September is Dental Office Management Appreciation Month—a time to recognize the behind-the-scenes brilliance of those who keep dental practices running smoothly and thriving financially. Whether your office manager is hands-on with collections or orchestrating the process through team delegation or outsourced support, their influence is clear: they’re the strategic drivers of a healthy bottom line.  And yet, too often, their contributions go uncelebrated.

This month is the perfect opportunity to highlight your office manager’s vital role in revenue recovery—and to equip them to lead that charge with clarity, confidence, and support.

They Lead the Charge—Not by Managing Tasks, They Lead by Moving Results

Revenue recovery isn’t about chasing payments or crunching numbers. It’s about leading people, systems, and priorities in a way that ensures the practice gets paid for the care it delivers. In this, the office manager is the linchpin.

Whether they’re:
– Building protocols to minimize insurance claim denials,
– Holding team members accountable for treatment follow-up,
– Or tracking outsourced claim workflows,
…they are doing more than “handling the books.” They are protecting the financial health of the practice.

That kind of leadership deserves visibility—and appreciation.

Delegation Doesn’t Diminish Ownership

They think like a CFO and lead like a coach—guiding people, systems, and outcomes.

Appreciation That Reflects Their Value

If we want office managers to feel seen and valued, the best gift we can offer is more than praise. It’s trust, tools, and a seat at the table. Here’s how to show that:

1. Acknowledge Their Financial Leadership
“Thanks for protecting our cash flow” means more than “Thanks for staying late.”

2. Invite Them into the Numbers
Review reports together monthly. Let them lead the conversation on what’s working and what needs refinement.

3. Celebrate Progress, Not Only the Achievement of Goals
Did the A/R over 90 days significantly decrease? Did same-day collections improve? Shout it out—and connect it to their leadership.

4. Give Them Strategic Time
If your OM is constantly putting out fires, they can’t focus on the financial big picture.  Support time for proactive planning and leadership—beyond putting out fires.

Finish the Year Strong—With the Right Person Leading the Way

September signals the final stretch of the calendar year. It’s when teams gear up to meet production goals, get patients scheduled before benefits reset, and prepare for the Q4 push.

All of that momentum collapses without a leader guiding the revenue engine. That’s your office manager.

Whether they’re mentoring the front desk team, fixing a broken process, or aligning systems with your practice goals, their role is pivotal. They’re revenue strategists. And it’s time we start calling them that.
